Welcome to the Checked Off beta
Thank you for being one of the first people outside our own team to try Checked Off. This is a local-first task and project app built for individuals not teams. We've built an app that works with a number of different organizational styles. We hope that it fits yours.
We have a daily list that you can populate in a number of different ways and some powerful task filtering. It's the only app I know of that is designed to be used with or without due dates. If you work by priority rather than dates, I really hope you try this out.
We also have a built-in project type for routines and habits that you can use as scaffolding while you try to ramp habits up or use persistently for routines that are not automatic.
Our mission is simple: building a productivity app that is flexible enough to support many different workflow styles.
This beta runs on Windows only for now; macOS and Linux support is planned for a later phase.
What's new
Getting back on track
- The signature moment: when you return after time away, Checked Off notices the gap and welcomes you back instead of confronting you with everything you missed.
- A task can wait on more than one blocker at once, and you can mark it waiting or flag it as needing breakdown when it's not ready to move — so a stuck task stays visibly stuck instead of disappearing into the list.
- Honest, non-judgmental task states — including skipped and forgot, alongside done and cancelled — so the app reflects what actually happened without treating it as failure.
Tasks & projects
- Lots of different ways that you can add detail about tasks from planned or due dates to energy level, time estimates, priority, blockers, tags and more.
- Planned dates and due dates tracked separately — a plan is not a deadline.
- You can organize your tasks in an outline mode with a parent and subtasks.
- You can tag different projects to different domains for different areas of your life.
- Color-coded Domains help organize projects for the different areas of your life or work.
- Fast multi-line task entry — type several tasks at once, tag and project them inline as you type (
#project,@tag,^flag). - Edit anything inline or from the keyboard, and undo/redo works throughout — so it's safe to just try something.
Staying organized
- Daily planning and a "Plan My Day" flow to pull the right tasks into today.
- A "What's Active" screen for a quick triage of what's actually in motion.
- Saved views with flexible filters — match all or any condition, exclude specific tags, and manage your tags and filters in one place.
- Full-text search across your tasks.
- Drag-and-drop and keyboard-driven reordering, with dedicated landing pages for all your projects and all your routines.
Routines
- Routines get their own home in the sidebar, separate from your projects — built for the different rhythm of things you do again and again.
- Each routine item schedules independently, and shows up right on your Daily view when it's due.
Writing & notes
- A full rich-text editor for task descriptions, with formatting and image paste — write and work the way you actually think.
- A markdown status/narrative field on every project, for the story of where things stand.
Look, feel & accessibility
- Dark mode.
- A command palette and keyboard shortcuts for fast navigation.
- Built to work well with a keyboard or a screen reader, not just a mouse — careful focus handling and screen-reader announcements throughout the app.
- Spell check in text fields.
- A confirmation step before any destructive action, so nothing gets deleted by accident.
Your safety net
- Automatic daily backups, plus manual backup and restore whenever you want one.
- A recovery screen if something ever goes wrong opening your data, so you're never staring at a blank app.
Worth knowing
- Checked Off is local-first: your tasks, projects, and notes live on your device, not in the cloud. No account, no sign-up needed to use the app. (A few specific things do leave your device — usage analytics and bug reports you choose to send, both below — but never your task data.)
- The first time you open the app, it'll ask you to agree to share basic, privacy-respecting usage analytics — that's how we learn what's working. If that's not for you, no problem — you can close the app instead of agreeing. We never see the content of your tasks, project names, or tags — just what you click and how often.
- A built-in bug reporter lets you tell us directly when something's wrong, right from the app.
- The app updates itself, so you'll always be running the latest beta build.
- A short Getting Started tutorial walks you through the basics the first time you open it.
AI access
- AI access is by default off and nothing in the app requires you to use AI.
- There's nothing you can do with AI that you can't also do by hand in the app.
- We built an MCP access portal for you to use if you choose to connect it.
- The MCP access allows your AI to use a defined set of tools. We recommend you look at the AI section of the Getting Started project before enabling the access.
Known issues
- Windows only for this beta — macOS and Linux are planned for a later phase.
- No sync between devices yet. Checked Off lives on one computer at a time.
- A handful of smaller refinements didn't make this beta and are still on our list — among them, more image-handling options in the rich text editor, a home-screen widget, and either way to unparent a child task.
Upgrade notes
Not applicable — this is a fresh install for everyone, so there's nothing to migrate from a previous version.
